NOTICE OF THE SIXTEENTH ANNUAL MEETING OF THE MEMBERS OF THE SANDERLING RACQUET AND SWIM CLUB, INC.

TO:            THE MEMBERS OF THE SANDERLING PROPERTY OWNERS ASSOCIATION, INC.  THE MEMBERS OF THE SANDERLING RACQUET AND SWIM CLUB, INC.

RE:      MEETING NOTICE AND AGENDA

Notice is hereby given that the Fortieth Annual Meeting of the Sanderling Property Owners Association, Inc. (SPOA) and the Sixteenth Annual Meeting of the Sanderling Racquet and Swim Club, Inc. (SRSC) will be held at the Sanderling Racquet and Swim Club, 1578 Duck Rd, Duck, North Carolina, on Saturday, October 9, 2021, at 10:00 AM.

If you do not plan to attend the meeting, or if you are not certain you will attend, please sign the Proxy and return it to the Sanderling Property Owners Association, Inc. using the enclosed addressed, stamped envelope.  It is important that you either attend the meeting or submit your proxy since a quorum is required to conduct business and for the election of Board Members. Please note that the Proxy is for both SPOA, Inc., and SRSC, Inc. 

 The order of business will be as follows:

  • Roll Call
  • Proof of Notice of Meeting or Waiver of Notice
  • Call to Order of General Meeting
  • Reading of 2020 Annual Meeting Minutes
  • Report of Officers, Board of Directors and Committees
  • Presentation of the budgets for 2022 for both SPOA and SRSC

  • Unfinished Business
  • New Business
  • Adjournment
  • INSTRUCTIONS FOR JOINING AND PARTICIPATING IN THE 2021 ANNUAL MEMBERSHIP MEETING VIA ZOOM

    (Please sign and return your proxy if you do not plan to attend in person!)

     

    The SPOA/SRSC Annual Membership Meeting, Saturday, October 9, 2021 at 10 am, will be an in-person meeting.  The Executive Orders for North Carolina that authorized virtual meetings last year are no longer in effect.  We will provide an opportunity for those who cannot attend in person to participate virtually using Zoom software.  PLEASE NOTE:  Participation in the virtual meeting will not count toward the quorum required to conduct business—the quorum will be determined by in-person attendance and proxies received before the meeting.  Zoom will allow us to present reports from officers, directors and committee chairs and to answer questions and have orderly discussions on any membership concerns.  You may not participate in voting through Zoom.  If you do not plan to attend in person, please sign and return your proxy as soon as possible.

    Technology requirements for Zoom

    You will need:

    • An internet connection or data connection
    • A laptop computer, desktop computer, smartphone, or tablet
    • Speakers, a microphone, and a webcam either built-in or attached to your computer or mobile device

    Logging into Zoom on two devices at a single location may reduce video capability and may cause feedback or echoing of your audio.

     

    Participating in the meeting

    • When you join the meeting, your microphone will be muted. It is best for orderliness to leave it that way until you are recognized to speak.
    • The meeting facilitator will provide a brief tutorial early in the meeting.
    • To be recognized during the meeting, click on the icon labeled “Participants” at the bottom center of your PC or Mac screen. At the bottom of the window on the right side of the screen, click the button labeled “Raise Hand.” The meeting facilitator will recognize you to speak at the appropriate time.

    We will provide further instructions for participation in the meeting.
